How Do I Process a Refund in Cloud?

To process a refund in Cloud:

1. On the client's account, scroll down and click the transaction you want to refund

2. Click "Void/Refund Transaction"

You can void a transaction if:

a) It's a same-day credit card transaction and you void the transaction before 5:00 PM EST.
b) It's a check.

Cloud automatically knows if the transaction can be voided or refunded, so you won't have to worry about this too much.

3. Select the Refund Reason, Tender Type and add any notes. Then, click "Set Refund Amount" (see highlighted button in image below).

The refund reason is important:

1. Damages/Poor Service—automatically adds a discount product to the job because realistically, you'd be giving the client a discount for a damage or poor service complaint.
2. Incorrect Tender Type—automatically refunds the full amount of the job. For example if you charge the client's credit card when they left a check, you'll in practice be refunding the entire amount.
3. Other—If no reason applies, you can use the "Other" box and list any details in the Notes section.

4. Fill out the amount you want to refund and click "OK"

5. Click "Save Refund" at the top of the original page and you're done!
